Creating the Proposal for Grand Day of Tournaments 2024



I'm starting this blog a little late, but not too late. I decided to start a blog that follows my journey as an event steward in the Society for Creative Anachronism. I recently put together a proposal for A Grand Day of Tournaments in the Barony of Cynnabar. 

Before offering the proposal to the Barony of Cynnabar, there were several things that I needed in place: how much it would cost, certain staff that are in charge of specific parts of the event, possible activities, and how many people we would need in order to make back the cost of the event to host the following year. 

This is the current proposal: 

I submitted this last Thursday (1/11) to the Barony of Cynnabar. You can see that I have included the the aspects that were important in order to request money from the group. 

Because there is so much that goes into this event, I wanted to be a thorough as possible. 

The first part was to make sure that I had support for the event. Since the main part of the event is for marshalled activities, I made sure to have an Armored and Rapier Marshal, and a Gate Steward. Besides the Event Steward (Who is in charge of the entire production.) these three are the other staff heads that are essential to put on this event. On this proposal I am missing two positions: Royal and Merchant Liaisons. You can see that many of the Staff Heads have not been filled in. After the proposal was submitted, I did fill in several positions. 

That's not to say it was accepted yet. The Barony has a 3 week approval process. During this time you present your proposal each week. The group has a chance to ask questions or make comments. The first week I went through the proposal in detail. This year I am asking for $300 more than last years proposal. This helps us to cover expenses that the members of the barony kindly offered to cover last year. Because last year's even was a success, we have a little room to request a bit more this year. 

Because we are requesting more, but aren't changing the gate fee, That means we'll have to have more people attend to break even. There are few different things that I am trying in order to encourage attendance this year. Last year we had several key parts to the event that encouraged the participation at this event. I am hoping through early advertising that we can drum up attendance really make this event shine this year. 

During the first meeting the populace of Cynnabar had a chance to ask some really good questions about the food trucks, last year's attendance, and more. I feel confident in my proposal and am looking forward to tomorrow where it will be given to the group to consider for week 2. If you have questions about the proposal, let me know in the comments!
